We know cancellations are never planned. When they happen, we aim to be as fair as possible while reflecting the real costs we incur once your accommodation, permits, and logistics are in place. This policy sets out what happens financially if you need to cancel or if we need to cancel on you.


[ SECTION 1 ]

Cancellation by you

If you need to cancel your booking, please notify us in writing (by email to travel@miselesafaris.com) as soon as possible. The date we receive your written notification is the cancellation date for the purposes of this policy.

The following cancellation charges apply, calculated as a percentage of your total trip cost:

These charges reflect costs already committed on your behalf such as national park permits, accommodation deposits, and staffing. This is why comprehensive travel insurance including trip cancellation cover is a condition of booking. A good policy can reimburse the charges above in most circumstances.

Changing dates vs cancelling

If you wish to postpone rather than cancel, please contact us as early as possible. We will always make every effort to transfer your booking to new dates without applying cancellation charges. In many cases, particularly with good notice, this is achievable.

However, a date change is subject to availability at every level of your trip — accommodation, national park permits, and activity operators all operate independently, and during busy travel periods (typically June to October and December to February) suppliers may already be fully booked on your preferred new dates. Where a supplier cannot accommodate the change, their deposit or pre-payment may not be recoverable under their own cancellation policy, regardless of the reason for the change.

In practical terms this means:

  • Date changes with ample notice and flexible new dates — we will work to transfer all bookings at no additional cost, and this is the most common outcome

  • Date changes during peak season or at short notice — where suppliers cannot accommodate the new dates and deposits are non-recoverable, those costs will need to be passed on. We will always inform you of any such costs in writing before you commit to the change

  • Where a date transfer is not possible — the booking will be treated as a cancellation under the terms of Section 1

Please speak to us directly before making any decision to cancel — in many cases a date transfer is possible and will save you money. We will always give you an honest assessment of what is and isn't achievable before you decide.

[ SECTION 3 ]

Cancellation by Misele Africa Safaris

We very rarely cancel confirmed bookings. In the unlikely event that we must cancel your trip — for example, due to events beyond our control such as park closures, natural disaster, or significant political instability — we will notify you as soon as possible in writing and offer a full alternative itinerary or rescheduled dates where possible.

Where no suitable alternative can be agreed, we will issue a refund calculated as follows:

  • Our own fees and margin — refunded in full

  • Supplier costs already paid and recoverable — refunded in full upon recovery from the supplier

  • Supplier costs already paid and non-recoverable — these cannot be refunded. National park permits, accommodation deposits, and certain activity fees are paid to third parties in advance and are non-refundable under those suppliers' own policies. We will provide written documentation of all non-recoverable costs upon request.

We are not responsible for costs you have incurred independently including international flights, visas, pre-trip accommodation, or travel to Tanzania, in the event of a cancellation. Again, travel insurance is the appropriate protection for these costs.

The closer to your departure date a cancellation occurs, the greater the proportion of costs already committed to suppliers and unrecoverable. This is the principal reason comprehensive travel insurance — including cancellation cover — is a condition of booking. A good policy will cover non-recoverable supplier costs in the event of an operator cancellation beyond your control.

[ SECTION 4 ]

Force majeure

Neither party will be held liable for failure to perform obligations where that failure results from circumstances beyond reasonable control — including natural disasters, acts of war or terrorism, government travel advisories, pandemic restrictions, or park closures ordered by Tanzanian authorities. In such events we will work with you in good faith to find the best available outcome, which may include rescheduling, partial refunds, or credit toward a future booking.

During the Covid-19 period, we worked with every affected traveler to reschedule or provide credit. It is our intention to continue operating with the same level of flexibility and fairness in any future disruption — within the constraints that supplier costs place on us.

[ SECTION 5 ]

Refund process

Where a refund is due, we will process it within 21 business days of the cancellation being agreed in writing. Refunds are issued via the same method as the original payment where possible. International bank transfer fees are deducted from the refund amount.
